Mailchimp is an email marketing platform that helps you create, send, and manage email campaigns. As your business grows, you’ll often need to give team members or marketing agencies access to your account, so they can help with campaigns, design, or reporting. This step-by-step guide explains how to invite a user to your Mailchimp account, plus what you need to know about Mailchimp’s user roles and account limits.
Step 1: Log in to Your Mailchimp Account
Visit the Mailchimp login page and enter your account information. Once you’re logged in, you’ll land on the Mailchimp homepage.

Step 2: Navigate to the Users Page
First, click your profile icon in the upper-right corner of your screen, then select “Account & Billing.” Here, you’ll see your account information, your plan, and several dropdown menus.
Take note of your current plan, as it determines how many users you can add and which user roles are available (more on this below).
Open the “Settings” dropdown and click “Users” to view everyone who currently has access to your account.

Step 3: Invite a New User
From the Users page, look for “Invite a user” near the right side of your screen. Enter the email address of the person you’d like to invite.
You can choose the user type to grant them. Depending on your plan, options may include Viewer, Author, Admin, or Manager. Once everything is set, add a message if you’d like, then send the invite to their inbox.

Step 4: Accept the Invitation
Confirm the invite was received by the recipient. The invitation needs to be accepted before they can access your Mailchimp account. Once accepted, the new user is granted the permissions assigned to them.

Understanding Mailchimp User Roles
Mailchimp offers several user levels, each with its own set of permissions.
Admin: Has the same day-to-day permissions as the owner, including billing, campaign management, and account settings. This role suits trusted team members or marketing agencies.
Manager: Can do most of what an admin can, but cannot view billing information, export audiences, or close the account.
Author: Can create, edit, and delete emails and view reports. This role suits people who create content or designs, but shouldn’t manage the account or send campaigns.
Viewer: Limited to viewing campaigns, reports, and analytics. This option suits people who only need to monitor performance.
Why Can’t I Add a User to Mailchimp?
If you’re unable to add a user to your account, it’s usually due to your selected Mailchimp plan or the number of available user seats. Your plan restricts which user types you can assign and the total number of users you can assign.
- Free plan: Limited to one user (the account owner). You’ll need to upgrade to invite anyone else.
- Essentials plan: Up to 3 users, assigned as Owners or Admins.
- Standard plan: Up to 5 users, with every role except Manager available.
- Premium plan: Unlimited users, with all user roles available.
